Create Bills of Lading for Multiple Orders
Create BOLs for multiple orders, upload carrier information, and print every BOL at once.
Is This What I’m Looking For?
Use this article when you ship many freight orders on the same day and need a Bill of Lading (BOL) for each one. Building them one at a time is a longer process, and a BOL missing details can hold up the driver at pickup. This article does not cover creating a single BOL by hand or what each BOL field means. This task is done on desktop only.
Before You Begin
Permission level
- Order table: You need Bulk Create Bill of Ladings in the Process section of the Fulfillment permissions.
- Bill of Lading Carrier Information table: You need Read and Create access in the Table section of the Fulfillment permissions.
- Bill of Lading table: You need Read access in the Table section of the Fulfillment permissions to review and print BOLs. You need Delete access to remove an extra BOL.
- Only the Administrator role has these permissions by default. An admin can add them to other roles. See View / Edit Role Permissions.
Materials on hand
- A spreadsheet (Excel or .csv) with your carrier details. Each row needs a Bill of Lading No or Bill of Lading ID and a Commodity Description.
- Each upload covers one Line of Business. Upload 5,000 rows or fewer at a time.
Steps
Create the BOLs
- Go to the Order table.
- Select the orders you are shipping.
- Click Actions → Bulk Create Bill of Ladings.
- Review the list of orders.
- If an order already has a BOL, you see a warning with its BOL No.
- If you continue, InfoPlus creates a second BOL for that order.
- Click Submit.
Add carrier information
- Go to the Bill of Lading table.
- Click Actions → Bulk Add Carrier Information.
- Select the Line of Business for the BOLs, then click Next.
- Click Download template file.
- Click Required Fields to see which columns you must fill in.
- Fill in one row for each carrier information line, then upload the file and click Next.
- On the Fields screen, match each column in your file to a carrier information field. Add more fields if needed, then click Next.
- Check each row for errors, then click Submit.
Print the BOLs
- Go to the Bill of Lading table and select the new BOLs.
- Click Actions → Bill of Lading Report.
- Click Submit.
- If the PDF does not open in a new tab, click Download Report.
What You Should See
- After you bulk create, the confirmation screen shows the new BOL No for each order.
- Each new BOL fills in from its order the same way a single BOL does. Open each BOL to add or check details before you print.
- After you upload, the confirmation screen shows which rows were added and which were not.
- The upload adds new carrier information rows. It does not replace rows already on the BOL.
- Bulk creating does not print the BOLs. You print them from the Bill of Lading table.
Troubleshooting
If an order now has two BOLs:
Why this happens: You continued past the warning that the order already had a BOL.
How to fix it: Go to the Bill of Lading table, find the BOL with the higher BOL No, and delete it.
If a row shows an error on the upload review screen:
Why this happens: The row is missing a Commodity Description, has no Bill of Lading No or Bill of Lading ID, or names a BOL that is not in the Line of Business you selected.
How to fix it: Fix the row in your file and upload it again.
